A work recommendation letter is a signed letter in which a manager or colleague vouches for your work: what you did, how well you did it and why they would hire you again. Most people search for it at the same moment, when the person who has to sign it says "sure, send me a draft."

Two details make the difference between a letter that helps and one that gets skimmed. The achievement paragraph needs one concrete fact, not adjectives. And the closing offer to be contacted turns a piece of paper into a reference the next employer can check.

What Should a Work Recommendation Letter Include?

Every solid recommendation letter does five jobs: it identifies the signer, places you in time and role, proves your value with evidence, states the recommendation plainly and offers a way to verify it. The breakdown below takes the core of a real-looking letter apart line by line.

Anatomy of a recommendation that gets read

What it should not include matters just as much. Leave out salary, the reason you left, health, family situation or anything else that is private or that the signer cannot vouch for first-hand. One page is enough; two usually signals padding.

1. Employee leaving on good terms

A peer or client letter carries less weight than a manager's, so it must say how the signer knows you in the first sentence. Use it as a complement, not as your only letter.

These three documents get mixed up, especially in Latin America, and they are not interchangeable. A recommendation letter is voluntary and subjective: someone vouches for you. An employment certificate is objective: it states dates, role and sometimes salary, and in several countries the employer must issue it on request.

In Mexico, article 132, section VIII of the Federal Labour Law requires employers to issue a written record of your services within three days when you request it or leave the company. In Colombia, article 57.7 of the Labour Code obliges the employer to give a certificate of time of service, type of work and salary when the contract ends. Neither law forces anyone to recommend you, so if a form asks for a "constancia," a recommendation letter will not replace it.

How to Ask for a Recommendation Letter

The best moment to ask is while your results are still fresh: just before you leave or in the first weeks after. Choose someone who supervised you directly and saw the work you want highlighted. A senior name who barely knew you writes a vaguer letter than a direct manager. The professional relationships you build at work are what make that request easy.

Mistakes That Weaken a Recommendation Letter

  • All adjectives, no facts. "Responsible, proactive and a team player" fits anyone. One figure or one concrete situation says more than five qualities.
  • No signer details. Without job title, phone or work email, nobody can check it, and an unverifiable letter loses most of its value.
  • Generic recipient when there is a specific one. If you are applying to a known company or programme, address it to them and name the role.
  • A letter that is too old. A letter from five years ago about a job you no longer do says little. Ask for an update or a new one.
  • Copying the template word for word. Recruiters have seen the same phrases many times. The brackets are a starting point, not the final text.
